SENIORITY LEVEL: Entry-Level

FUNCTION: Corporate & Regulatory Affairs

LOCATION: Dhaka, Bangladesh

Reports to: Area Head of Corporate & Regulatory Affairs  

ROLE POSITIONING & OBJECTIVES

This role ensures the seamless administration of CORA functions, aligning with global standards while addressing local requirements.

WHAT YOU WILL BE ACCOUNTABLE FOR

BUSINESS MANAGEMENT

1. Support Head of CORA in day-to-day tasks and provide administrative support to the department:

  • CORA Travel, CORA Events/Day Out, CORA monthly meetings, Stationery & Pantry Management, Pool car, CORA calendar tracking, tracking Joiner/Mover/Leaver/IA for mail group update, CORA Shipments, Letter Drafting Support, and CORA IA NEC Recharge
  • Successfully manage meetings & track Head of CORA’s Calendar (local & APME) and appointments.
  • Manages Head of CORA's Bank/Financials, paperwork, system-related work, and external stakeholders.
  • Manage CORA Local and International Travel, including CORA’s visitor’s travel.
  • Organize venue, food, and travel for CORA team day out/event/ team celebration/ birthday by engaging vendors.
  • Manage supplies for stationery & food (Floor Pantry/Support staff management); prompt coordination with facility team & ensure pool car support for the CORA team.
  • Support CORA-related document distribution, Head of CORA sign-off, and manage CORA IA shipment etc.
  • Provide ad-hoc support for visa letters, invitation letters, and NOC; support the teams on recognition such as Thank You Card (fully), Honor Club (partially), and Stellar (partially).

2. Financial Coordination – Budget Management and Vendor Payments (Both Local & Foreign):

  • Manage the CORA NEC Budget & update it monthly within the given budget.
  • Update the finance team on the savings from the given budget and make provisions for the pending GRs; track all IA that is to be recharged.
  • Keep track of open PO to escalate GR and payment within the given timeline.
  • Manage the corporate card as per company policy.
  • Complete settlement of bills as per company policy.

3. Vendor Enlistment, Agreements (Icertis), & AFC:

  • Document collection from vendors to ensure compliance in the system.
  • Ensure compliance with the agreement and AFC for vendor enlistment.
  • Tendering for vendor enlistment; enlist new vendors for business requirements.
  • Raise CAN and support in the execution of agreements; clear all backlog and escalate system issues on time if there are any.
  • Map the GR payments on the system.

4. Support the CORA Team for Local & International Travel:

  • Support CORA Team for Local Travel (Budget Approval, Traveler’s profile update/ Approvals / Purchase Order / Ticket Booking).
  • Arrange VISA for International Travel.
  • Ensure compliance with Ticket Booking as per policy.
  • Arrange FOREX for the traveller and settle the bills upon return.
  • Accommodation for Local and International travel

  1. Vendor Management
  • Ensure that vendor enlistment is conducted as per the requirement mentioned in the policy.
  • Assess the risk of the vendor prior to vendor enlistment.
  • Sort issues of the vendors related to the service they will be providing,
  • Raise the purchase order and goods received as per company policy.

PEOPLE & PROCESS MANAGEMENT

  1. Collaboration with Internal & External Stakeholders:
  • Collaborate with various functions and stakeholders such as Procurement, Finance, Legal, and all the EAs of the Leadership Team to complete business responsibilities.
  • Develop a working relationship with vendors to ensure proper supply of goods and services as per business requirements.

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

  • Minimum bachelor’s degree in business background or any related field.
  • Excellent written and verbal communication skills in Bengali and English.
  • Ability to multitask and work with various groups of stakeholders.
  • Ability to take initiative to develop new strategies and implement efficient ways of working.
  • Ability to work independently and in a team.
